Apply for the Operations Coordinator
Location: Bristol
Job Description:

This vacancy is not eligible for Visa Sponsorship. Please do not apply unless you have another means of establishing a right to work.

At NHS Blood and Transplant (NHSBT) we work with our incredible donors and donor families to enable their generous donations to change and save the lives of patients every single day. Our organisation doesn’t just facilitate blood donation, a key area of our service is Organ and Tissue Donation and Transplantation (OTDT) and this is where we need you.

We’re looking for organised, confident communicators – particularly those with experience in busy administrative or call centre environments – to join our dedicated Hub Operations team. The Hub plays a critical role in the transplant pathway, facilitating around 1,600 donations each year, managing over 39,000 organ offers, and helping ensure that thousands of patients receive life‑saving or life‑enhancing transplants.

As an Operations Coordinator, you’ll coordinate the administration behind matching and allocating organs for transplantation across the UK, Republic of Ireland and European Organ Exchange organisations 24 hours a day, 365 days a year. No clinical experience is required for this role. Instead, you’ll use your strong coordination, communication and IT skills to support this life‑saving process. You’ll work in a fast‑paced, call‑centre‑style environment, managing multiple calls and tasks each shift, and playing a crucial part in making successful transplants happen.

Main Duties of the Job

  • Communicating – Handle incoming and outgoing calls with clinical teams, labs, and transplant centre staff both nationally and internationally, in a clear and professional manner.
  • Recording information relating to organ offering on national IT systems quickly and accurately.
  • Coordinate logistics, including arranging transport for organs and specialist teams.
  • Coordinate with transplant centres in relation to registration of urgent patients awaiting transplantation, capturing and recording transplant outcome information and removing patients from the waiting list following transplantation.
  • Coordinate with research studies around placings organs for research where they have been deemed unsuitable for transplantation.
  • Act as the onsite emergency contact during out‑of‑office hours for the Organ Donation and Transplantation teams.

You will be required to take part in a rota to support 24/7 working. Shifts include day, night, weekend and bank holiday. You will receive notice in advance of the shifts and on‑call to be covered.

Qualifications

  • Experience of working in a busy office environment, handling conflicting deadlines and priorities.
  • Experience of working in an administrative role.
  • Experience of working with Information Technology using Microsoft Office packages (Word, Excel and PowerPoint).
  • Experience of using IT systems to produce reports and correspondence which are timely, professional and accurate.

Experience

  • Equivalent experience in a similar role or NVQ Level 4.
  • No clinical or medical background required.

Benefits

  • Flexible working options – we promote flexible working where the role allows. We’re happy to discuss what flexibility might look like for you.
  • Generous annual leave – 27 days annual leave (pro rata for part‑time) plus Bank Holidays, increasing to 29 days after 5 years service and to 33 days after 10 years.
  • Inclusive pension scheme – the NHS Pension Scheme is a defined benefit scheme (not dependent on investment returns). Further details and outline of benefits can be found at http://www.nhsbsa.nhs.uk/information-about-nhs-pensions
  • Supportive learning culture – we’ve fostered a culture of continuous learning where colleagues are well‑led, engaged, and encouraged to grow. We support you in reaching your full potential, both in your current role and future career. Our Thrive programme embodies our commitment to learning and development, offering a wide range of activities to support your personal and professional growth. It’s open to everyone at NHSBT, ensuring you have the resources to succeed and shine in your role.
  • Health and wellbeing support – we offer confidential services including occupational health, employee assistance programme, and wellbeing resources. Our support is available to all colleagues and we endeavour to provide tailored workplace adjustments where possible.
