Senior Logistics Co-ordinator

Overview

In this role you will proactively manage key Culture Collections orders from receipt to dispatch, ensuring high customer satisfaction and continuous improvement. You will liaise with customers on international shipping, maintain accurate SYS and databases, and support with travel needs. You’ll train colleagues, deputise for the Order Processing Manager, and drive process improvements across dispatch operations. This is a hands-on role in a collaborative, mission-driven culture.

Responsibilities

• Proactively manage orders from key Culture Collections customers from receipt to dispatch and input into the sales order database
• Provide clear, courteous responses to non-technical national and international customer enquiries within agreed timescales
• Ensure dispatches comply with national and international rules and safety regulations and assist customers accordingly
• Compile shipping documents and ensure paperwork and customs requirements are met for all countries
• Liaise with Shipping and Customs Clearing Agents as needed and verify correct shipment assembly
• Train and mentor new staff in Order Processing procedures; deputise for the Order Processing Manager when absent
• Support with travel arrangements and queries to ensure team resilience
• Identify and propose process improvements for Order Processing & Dispatch operations, including MaPS and IT system enhancements
• Analyse operational data and generate reports to monitor KPIs, customer accounts, and inventory control
• Participate in customer and regulatory audits as needed

Key requirements

• GCSEs including English, Mathematics and Science
• Customer service experience, preferably in a sales office with an order processing system
• Experience managing key customer accounts and high-value orders
• Proven logistics experience, including international shipping requirements, export documentation, and customs processes
• Intermediate computer literacy (MS Office & Oracle)
• Good telephone manner and customer communication skills
• Good verbal and accurate communication skills
